Things to consider when buying a copy machine

Every business is different and so are their copying needs. Long before you consult with vendors, you should consider a number of relevant points.

Copy volume:

Many copy machine vendors use what is called CPC, cost per copy. With arrangements like this, the vendor charges for all consumables, paper, toner, ink etc. and the service all in one monthly fee. This fee is calculated as cost per copy, the higher the copy volume, the higher the monthly charge. The owners can opt to buy the consumables from vendors they please a contract for service as separate entities, this often done when the machine is used.

The life span of copiers in Miami is also calculated on a per unit basis. Buying a used copier is not unlike buying a used car; you need to know the exact mileage before you buy to make sure there is enough life left in it to justify the savings. If a machine is reaching the end of its useful life, it may be a better deal to purchase a new machine.

Copy speed:

Machine output is measured in CPM, copies per minute, sometimes it is referred to as PPM, pages per minute but it’s all the same thing. The machines that are on the market today run at speeds between 15 and 100 CPM, machines that produce more copies are initially more expensive and require considerably more maintenance. The industry has a term, “business color”, this is color that is not a perfect representation of the original or is it a perfect reproduction of Pantone colors. For most business purposes this is fine, however an interior decorator may need exact color so that the fabrics, colors and wood tones are represented perfectly to the client. The higher the color density, the more costly the copy.

Tracking:

Law firms are a perfect example of a company that tracks the quantity of copies made for each client. This information is used for billing purposes. This is also true for many businesses which will assign a departmental code to individuals; the copy volume then goes against their departmental budget. Many companies find that when copies are charged for that the copy volume drops; perhaps personal copies are no longer made.
